Facebook Messenger and Instagram Integration

This section applies only to Quantum PRM's integration with Meta's Facebook Messenger and Instagram services.

Facebook Messenger and Instagram Integration Information We Collect

When an authorized representative of a practice connects a Facebook Page or Instagram account to Quantum PRM, we collect and store information necessary to establish and maintain the connection. This may include the Facebook user ID of the individual authorizing the connection, Facebook Page ID and name, Page access token, and the ID of any linked Instagram account.

We also collect and process messaging information associated with connected accounts, including incoming and outgoing messages, photos, supported attachments, sender identifiers, available names or usernames, and message timestamps.

How We Use This Information

Quantum PRM uses this information to provide a unified communications platform that allows authorized practice staff to receive, view, manage, and respond to Facebook Messenger and Instagram conversations directly within Quantum PRM.

Authorized practice users may also choose to associate conversations with existing patient or customer profiles within Quantum PRM, subject to applicable permissions, consent requirements, and privacy obligations.

Information may also be processed as necessary to maintain, secure, troubleshoot, and support the integration.

We do not sell Facebook or Instagram messaging data or use it for advertising purposes.

Data Security and Sensitive Information

Quantum PRM employs security measures designed to protect information processed through its platform. Facebook Page access tokens are stored in encrypted form, and access to stored conversations is restricted to authorized users within the connected practice.

Because messages are initiated through third-party platforms, individuals may choose to share sensitive personal or health-related information. Quantum PRM may provide notifications, warnings, automated filters, and other configurable safeguards intended to help practices identify and appropriately manage sensitive communications.

These safeguards are not guaranteed to identify or prevent every instance of sensitive information being shared. Facebook Messenger and Instagram should not be relied upon as substitutes for secure patient communication channels.

Practices are responsible for ensuring that their use of connected messaging services complies with applicable privacy requirements, including requirements concerning protected health information.

Facebook and Instagram Data Retention

We retain Facebook and Instagram integration data only for as long as necessary to provide the connected services, fulfill applicable legal or regulatory obligations, or satisfy permitted data-retention requirements.

Information associated with patient records may be subject to additional healthcare record-retention requirements. Meta-derived information is deleted when required by applicable platform policies or law, except to the extent that retention is legally required.

Disconnecting Facebook or Instagram

An authorized practice representative may disconnect Quantum PRM from Facebook or Instagram by removing Quantum's access through the applicable Meta account settings or contacting support@quantumprm.com.

Disconnecting an account stops the associated integration from accessing new messages. Previously stored data is handled according to applicable retention requirements and data-deletion requests.

Requesting Deletion of Your Data

Individuals may request deletion of Facebook or Instagram information stored by Quantum PRM by emailing support@quantumprm.com.

Users who authorized a Facebook connection may also initiate a request through Facebook:

  1. Open Facebook and navigate to Settings & Privacy, then Settings.
  2. Select Apps and Websites.
  3. Find and remove Quantum PRM.
  4. Select Send Request if presented with the option to request data deletion.

When we receive a valid deletion request, we process the applicable Meta-derived data, including stored messages, attachments, identifiers, and related account associations, as soon as reasonably possible and in accordance with applicable legal requirements and Meta's data-deletion policies.

Where information has been associated with a patient record, information that must be preserved under applicable healthcare laws may be retained to the extent legally required.

Requests submitted through Meta's data-deletion process are handled through Quantum PRM's data-deletion callback. A confirmation or status-tracking link may be provided through Meta.

Requests From Individuals Who Message a Practice

If you contacted a practice through Facebook Messenger or Instagram and would like your conversation data removed from Quantum PRM, you may contact the practice directly or email support@quantumprm.com.

Please identify the practice and the Facebook or Instagram account associated with your request so we can locate the applicable information. Do not include sensitive medical information in your deletion request.

We will process verified requests in accordance with applicable legal obligations and data-retention requirements.

Deleting information from Quantum PRM does not delete messages independently stored by Facebook, Instagram, or Meta. Any requests to delete information directly from those platforms must be submitted through their respective services.
